How an admin connects it

Per-member OAuth connection with a read-only calendar scope.

Who can set it up: Each member connects their own calendar. An admin does not connect it for anyone else..

  1. A member opens their settings and chooses Connect Google Calendar.
  2. They approve the read-only calendar request on Google's consent screen.

Data we read

Read

  • Event start and end time
  • Event status and type (to skip cancelled and non-standard events)
  • Organizer email
  • Attendee email, response status and whether the attendee is a room resource
  • A stable event identifier, used to update or remove the same meeting later

Not read

  • Event title
  • Description or notes
  • Location
  • Video-call links or conference data
  • Attachments
  • Attendee display names
  • All-day events

The request names the fields above explicitly, so excluded fields never reach our servers. What we keep is narrower still: attendees are stored only if their email matches a verified member of your organization; people outside your organization are never stored. A meeting is kept only if it is in the future, has no more than 50 attendees and includes at least two of your members. The stored meeting title is always empty.

How the data is used

  • Ten minutes before a meeting, and again at its start, members who have not yet met an attendee are prompted to watch that person's intro. The prompt goes to Slack direct message when available, otherwise email.

Sync frequency

Every 5 minutes, incrementally, over a rolling 14-day look-ahead window.

Disconnecting and purging data

How: The member's settings, Disconnect Google Calendar.

  • Pending prompts for that member's meetings are cancelled.
  • Our stored connection is deleted, and the synced meetings, attendees and prompt records that came from it are deleted with it.
  • The record that two people have already met is deliberately kept.
  • Also remove access in your Google Account security settings to revoke it on Google's side.

What remains: Synced meeting data is removed when the member disconnects. Nothing further is retained from the calendar.
